Privacy Policy – Codeapps Inventory

Last updated: 14 October 2026

This Privacy Policy describes how CODEAPPS Technology Pvt. Ltd. ("CODEAPPS", "we", "us", "our") collects, uses, and protects your information when you use the Codeapps Inventory mobile application (the "App") and our website (together, the "Services").

By using the App or the website, you agree to the practices described in this policy.

1. Information we collect

1.1 Information you provide

  • Account information: name, email address, phone number, business name, business type, and city, collected when you register for a free trial on the website or when an account is created for you in the App.
  • Business data: information you or your organisation enter into the App, such as products, inventory, invoices, customers, and GST details.
  • Support communications: anything you send us by email, phone, or chat.

1.2 Location data (important)

The Codeapps Inventory App collects your device's precise location (GPS), including in the background — location is collected even when the App is closed or not in use.

  • Location is collected only while you are logged in to the App. If you log out, location collection stops completely.
  • Location data is used so that your employer's administrators can see the location of their staff (for example, field sales and delivery staff) in the admin dashboard, for attendance, route, and work-tracking purposes.
  • We do not use your location for advertising, and we do not sell your location data to anyone.
  • You can stop location collection at any time by logging out of the App, or by turning off the App's location permission in your device settings. Note that your employer may require location to be enabled while you are on duty.

1.3 Information collected automatically, and app permissions

  • Device information such as device model, operating system version, and app version.
  • Device identifier: used so that your employer can manage which phones are allowed to use the App.
  • On the website: IP address, browser type, pages visited, and cookies used for basic analytics and remembering your preferences. You can control cookies in your browser settings.

The App requests the following permissions, which are used only for the purposes described:

  • Camera: used to scan barcodes and take photos.
  • Microphone: used only when you tap voice search, to convert your speech to text through your phone's speech service (Google). Audio is not recorded or stored.
  • Nearby devices (Bluetooth / local network): used only to connect to receipt printers.
  • Location (including background location): see Section 1.2 above.

1.4 Face recognition for attendance (biometric data)

If your organisation enables face-recognition attendance, the App uses the camera to verify your identity when you mark attendance:

  • Your face is converted into a numeric face template. This template is stored only to check attendance.
  • The face template is deleted when the staff account is removed.
  • Face data is never used for any other purpose, and is never shared with or sold to anyone outside your organisation.

2. How we use your information

  • To create and manage your account and provide the Services.
  • To show staff location to the authorised administrators of your organisation, as described above.
  • To respond to your support requests and send service-related notices (such as trial expiry or security alerts).
  • To maintain, secure, and improve the Services.
  • To comply with legal obligations, including tax and accounting requirements.

3. No ads, no selling of data

  • We do not sell, rent, or trade your personal data to anyone.
  • The App shows no advertisements and contains no third-party advertising SDKs.
  • We do not use your data for advertising or marketing profiling by third parties.

4. How we share your information

We share personal data only in these limited cases:

  • With your organisation: if your account was created by your employer, the administrators of that organisation can see your profile details, your work data in the App, and your location as described in Section 1.2.
  • Service providers: trusted vendors that help us run the Services (such as cloud hosting and SMS/email delivery), bound by confidentiality obligations.
  • Legal requirements: when required by law, court order, or government authority, or to protect our rights, users, or the public.

5. Data security

Your data is stored on secure cloud infrastructure. Connections between the Services and our cloud servers are encrypted in transit (HTTPS/TLS), and we use access controls and regular monitoring to protect your information.

If your organisation chooses to run the App against its own local server (an on-premises installation), the App communicates with that server over your organisation's local network, which may use unencrypted HTTP. In that case the data stays within your organisation's network, and securing that network and server is your organisation's responsibility.

No system is completely secure, but we work to protect your information at all times.

6. Data retention and deletion

  • We keep your data for as long as your account is active, and afterwards only as long as required for legal, tax, and accounting purposes.
  • Location history is retained only as long as needed for your organisation's work-tracking purposes.
  • Face templates used for attendance (Section 1.4) are deleted when the staff account is removed.

To request deletion of your data, email us at support@codeapps.in from your registered email address (or include your registered phone number) with the subject "Data Deletion Request". We will verify your identity and delete your personal data within 30 days, except for records we are legally required to keep. If your account belongs to an employer's organisation, we may need to confirm the request with the account owner.

7. Your rights

Subject to applicable law (including India's Digital Personal Data Protection Act, 2023), you may:

  • Request access to the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete data.
  • Request deletion of your data (see Section 6).
  • Withdraw consent, including by logging out or uninstalling the App.
  • Raise a grievance about how your data is handled.

To exercise any of these rights, contact us using the details below.

8. Children's privacy

The Services are intended for business use and are not directed at children under 18. We do not knowingly collect personal data from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be available on this page, with the "Last updated" date shown at the top. If the changes are significant, we will notify you through the App or by email.
